Regulatory Compliance with DocRead

DocRead is a regulatory compliance solution for SharePoint 2007 and 2010 that distributes policies to groups of users and allows them to explicitly acknowledge that they have read and understood it. DocRead works by automatically creating time limited reading assignments to users based on their membership in pre-configured groups or audiences. Individuals are notified via email when new assignments have been created and when they are completed or overdue.

Why choose DocRead for SharePoint?

DocRead has many useful features to make the distribution and tracking of your policies much easier in SharePoint. Here's a selection of the most important:

Dynamically assigns reading tasks to users

Using 'Smart Move' - DocRead is able to assign the correct reading tasks to your users by tracking when they join (or leave) an audience (or group). This makes it ideal for new starters and for people who leave and enter organisations or project groups. Read more about Smart Move.

Allows users to confirm that they have completed a task

DocRead offers a simple and intuitive process for users to keep track of their reading assignments, including a clear confirmation process for users to explicitly acknowledge that they have read and understood the document. DocRead automatically issues and securely stores a reading certificate on completion of reading assignments. View a screenshot showing the task information panel.

Notifies users of how much time they have to read a document

DocRead works by automatically creating time limited reading assignments to users, notifying them via email when new assignments have been created and when existing tasks are completed or overdue. DocRead can be configured to send overdue reminders just once, or on a repeating schedule, usually daily. Easily attached to any existing SharePoint site

DocRead web parts may be seamlessly integrated into your Intranet Home Page, MySite or into any SharePoint web part page. For all the web parts, there are configuration options allowing you to control what is displayed. In addition to this, using CSS, it's entirely possible to style DocRead to match your brand and colour schemes.

Built-in reporting tool

DocRead ships with a reporting tool that allows administrators to easily get statistical information about reading assignments and drill down on specific documents or users. Using filtering and sorting, it's very easy to slice and dice the data you need, such as a list of 'overdue reading tasks by document'. A dashboard is also available, that presents the 'helicopter' view of each documents reading status within that site. All report information can be extracted as PDF, Excel and RTF. Approval Workflows

As DocRead works with documents stored in standard SharePoint Document Libraries, it can also benefit greatly from the use of SharePoint approval workflows. This means that your policies can be authored by a compliance expert and then routed to other people in the organisation for final approval. Once approved and published, DocRead will then begin the process of assigning individual reading requests (for that document) to the groups specified in the documents metadata.

Negative and Positive Reading Receipts

A 'Positive Reading Receipt' is a PDF document that states when a person read a particular version of a document and also the terms that they agreed to when reading it. This is stored securely in DocRead should proof ever be needed for litigation purposes.

A 'Negative Reading Receipt' is a PDF document that states when a person didn't read a document. This is also an extremely important statement that can be used by either employer or employee to prove that terms were not accepted. As with Positive Receipts, these are stored in DocRead should proof ever be needed for litigation purposes.

Both types of Receipts can also be downloaded and saved by the person who confirmed that they have read the document.

Easy to install

DocRead is extremely simple to install and configure meaning you don't need to break the bank on large implementation projects. On average - with no customisation - DocRead can be installed and activated on a Document Library within less than an hour.

Low Training Costs

The overwhelming feedback we have from customers is in DocRead's simplicity of use for end users. Within 3-clicks a user can read a document, read the terms associated with it and then confirm their acceptance. It couldn't be easier.
